Please read carefully before proceeding. These Terms and Conditions govern your use of clinical services provided by Naturecan Clinic (operated by Ropana Clinics Ltd). By registering as a patient or using our services, you confirm that you have read, understood, and agreed to these Terms in full. Medical cannabis is a prescription-only controlled drug. Prescribing is not guaranteed — all decisions are made on clinical grounds by a qualified specialist and are at their sole professional discretion.

Section 3

Patient Eligibility

3.1 General Eligibility Criteria

To be assessed at Naturecan Clinic, you must:
  • Be 18 years of age or over (see 3.2 for under-18 patients);
  • Be ordinarily resident in the United Kingdom;
  • Have a diagnosed condition for which a Cannabis-Based Product for Medicinal Use (CBPM) may be clinically appropriate;
  • Have tried and documented at least two conventional licensed medicinal treatments for your condition that have proved inadequate, ineffective, or not tolerated;
  • Be able to provide full and accurate medical history, including all current medications and any cannabis products currently in use; and
  • Not be subject to any court order or legal restriction preventing engagement with this type of service.
Important: Meeting eligibility criteria does not guarantee a prescription. Eligibility means you may be assessed — it does not mean a CBPM will be prescribed. All prescribing decisions are made on clinical grounds by a qualified specialist and are entirely at their professional discretion.

3.2 Under-18 Patients

Patients under the age of 18 may only be assessed at this clinic with the written consent of a parent or legal guardian who holds parental responsibility. Paediatric assessments are conducted exclusively by clinicians with appropriate paediatric specialist registration and only for conditions within current clinical guidelines.

3.3 Identity Verification

We are required by law to verify your identity before providing clinical services involving controlled drugs. You must provide valid photographic identification (passport, UK driving licence, or equivalent government-issued document) prior to your first consultation.

Section 4

Nature of Our Service

4.1 What We Provide

Naturecan Clinic provides specialist clinical assessment, clinical management, and — where clinically appropriate — the issuing of private prescriptions for Cannabis-Based Products for Medicinal Use (CBPMs) under the Misuse of Drugs Regulations 2001 (as amended November 2018). Our services include:
  • Initial specialist clinical consultation;
  • Review of medical history and prior treatment records;
  • Clinical assessment of suitability for CBPM prescribing;
  • Issuing of a private controlled drug prescription (FP10PCD or equivalent private form) where clinically appropriate;
  • Ongoing clinical monitoring and follow-up consultations;
  • Liaison with your GP and other treating clinicians where you consent; and
  • Clinical support and pharmacovigilance reporting as required by law.

4.2 What We Do Not Provide

Naturecan Clinic does not:
  • Supply, dispense, or sell medicinal cannabis products directly to patients;
  • Guarantee any clinical outcome, symptom relief, or patient experience;
  • Recommend specific cannabis strains, brands, or commercial suppliers to patients;
  • Provide NHS-funded prescriptions for CBPMs (CBPMs are not routinely available on the NHS; any private prescription is payable by you);
  • Operate as an emergency medical service (if you are in a medical emergency, call 999 immediately);
  • Replace your primary care relationship — you must maintain registration with an NHS GP throughout your time as our patient; or
  • Provide advice on recreational or adult-use cannabis.

4.3 Distinction Between Clinical and Consumer Services

Naturecan Clinic provides specialist clinical services only. The food supplements sold by Naturecan Ltd on its consumer website (naturecan.com) are entirely separate products. They are not medicines, are not prescribed, and are not suitable substitutes for any CBPM prescription issued by this clinic. We will not recommend or cross-sell consumer supplement products during a clinical consultation.

4.4 Telemedicine Consultations

Many of our consultations are conducted by secure video or telephone. All remote consultations are subject to the same clinical standards as in-person appointments. Our clinicians comply with GMC guidance on remote prescribing and will not issue a prescription where remote assessment is clinically insufficient. By consenting to a telemedicine consultation, you confirm that you are in a private, safe setting, are not impaired, and are able to engage with a clinical consultation.

Section 5

The Prescribing Process

5.1 Prescriber Qualifications

Under the Misuse of Drugs Regulations 2001 (as amended November 2018), CBPMs may only be prescribed by medical practitioners who hold registration on the GMC Specialist Register. All prescribers at Naturecan Clinic hold the requisite specialist registration. You may verify your prescriber's status at gmc-uk.org at any time.

5.2 Clinical Decision-Making and Governance

All prescribing at Naturecan Clinic is governed by our clinical governance framework, which requires:
  • A full, documented clinical assessment preceding any first prescription;
  • Review and documentation of prior conventional treatment history;
  • A documented risk-benefit analysis;
  • Assessment of concurrent medication interactions;
  • Recorded informed consent before prescribing commences; and
  • Scheduled clinical review as part of any ongoing treatment plan.

5.3 Prescriptions and Dispensing

Where a prescription is issued, it will be on an FP10PCD private controlled drug prescription form, or an equivalent lawful private prescription form as permitted under the Misuse of Drugs Regulations 2001. CBPMs are Schedule 2 controlled drugs. It is your legal responsibility to comply with all conditions of use, storage, and disposal as directed by your prescriber and dispensing pharmacist.
You are free to take your prescription to any GPhC-registered pharmacy licensed to dispense CBPMs. We can provide information about such pharmacies; however, you are under no obligation to use any particular pharmacy, including any Naturecan group pharmacy.

5.4 GP Notification

We strongly encourage, and with your consent will arrange, for your treating clinician to write to your NHS GP to inform them of your CBPM prescription, consistent with GMC guidance on good medical practice. If you decline GP notification, we will record this and may, in some circumstances, decline to proceed with prescribing where we consider the clinical risk unacceptable without GP oversight.

Section 6

Your Obligations as a Patient

6.1 Accuracy of Information

You must provide complete, accurate, and up-to-date information about your medical history, current medications, recreational drug use, and any other clinically relevant information. Withholding or misrepresenting information is dangerous to your health and may void your agreement with us.

6.2 Lawful Use of Prescriptions

You must:
  • Only use CBPMs prescribed to you, in the manner and dose prescribed;
  • Not supply, share, or transfer your prescribed CBPM to any other person — this is a criminal offence under the Misuse of Drugs Act 1971;
  • Store your CBPM safely and securely, out of reach of children;
  • Not drive or operate machinery where you are impaired — you are responsible for complying with the Road Traffic Act 1988 and for understanding how your medication affects you; and
  • Dispose of unused or expired CBPMs safely by returning them to a pharmacy.

6.3 Clinical Monitoring

Attend or engage with all scheduled follow-up consultations. CBPMs require ongoing clinical supervision. Failure to attend scheduled reviews may result in your prescription not being renewed until a review has been completed.

6.4 Reporting Adverse Effects

Report any adverse effects, unexpected reactions, or changes in your condition to your treating clinician promptly. You may also report suspected side effects directly to the MHRA via the Yellow Card Scheme at yellowcard.mhra.gov.uk.

Section 7

Fees and Payment

7.1 Fee Schedule

8.3 Statutory Cancellation Rights

Where you book online, you have a statutory right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 to cancel within 14 days of booking. By requesting an appointment within this period, you acknowledge that if the consultation takes place before the 14-day period expires, your right to a full refund for the completed service may be reduced. 10.3 Retention of Health Records

Clinical records, including records relating to controlled drug prescriptions, are retained for a minimum of 8 years from the date of your last consultation (or, for patients under 18 at the time of treatment, until their 25th birthday or 8 years after the end of treatment, whichever is later). This is consistent with the NHS Records Management Code of Practice 2021 and the Misuse of Drugs Regulations 2001 (which requires controlled drug registers to be kept for 7 years).
Marketing consent records are retained for the duration of the consent plus 3 years. If you withdraw consent, your details will be suppressed from marketing lists within 10 working days.

You have the right to:

  • Withdraw consent at any time where processing is based on consent (withdrawal does not affect lawfulness of prior processing).
To exercise any right, contact our DPO at the details in section 10.1. You may also lodge a complaint with the ICO at ico.org.uk or by calling 0303 123 1113 at any time.

10.5 Full Privacy Notice

Our full Privacy Notice — including information on data sharing, international transfers, and automated decision-making — is available at naturecanclinic.co.uk/privacy and on request from our patient services team.

Section 11

Marketing & Group Data Sharing

Why this section matters. Naturecan Clinic is part of a group that also operates a pharmacy and a food supplement website. This section explains clearly and transparently what marketing we may send you, what data we may share with those group businesses, and the controls you have. We rely on your active consent for all direct marketing and group data sharing. We do not use patient health data for marketing purposes.

11.1 What We Will Always Send You (No Opt-Out Required)

Regardless of any marketing preferences, we will always send you communications that are necessary for your clinical care or legal compliance. These are not "marketing" and are not subject to consent:
  • Appointment confirmations, reminders, and clinical follow-up notices;
  • Prescription-related notifications and safety information from your prescriber;
  • Adverse event and pharmacovigilance communications required by law;
  • Changes to these Terms or our Privacy Notice; and
  • Responses to complaints or enquiries you have raised.
These communications contain no product promotion and reference no third-party commercial products.

11.2 Naturecan Clinic Marketing (Opt-In)

With your consent, we may send you marketing communications about Naturecan Clinic's own services, including updates about new clinical services, educational content relevant to your area of treatment, and patient satisfaction surveys.
What our clinic marketing will never include: Naturecan Clinic marketing will never promote or name a specific CBPM product; include strain names, THC/CBD ratios, or product brand names; make claims about the efficacy of cannabis medicines; feature patient testimonials linking a product to a health outcome; or refer you to purchase any product from any supplier, including Naturecan group companies. This is required by MHRA and ASA/CAP rules for prescription medicines.
You can withdraw this consent at any time by clicking "unsubscribe" in any email, or by contacting us at support-uk@naturecanclinic.com.

11.3 Group Data Sharing — Pharmacy (Separate Consent)

GDPR note: The Naturecan group pharmacy is a separate legal entity and separate Data Controller. Sharing your contact data with them for marketing purposes is a disclosure to a third party under UK GDPR. We may only do this with your specific, freely given, and separate consent. It cannot be bundled with your clinical registration consent.
If you separately and actively opt in, we may share your name and contact details only (email address and/or mobile number) with the Naturecan group pharmacy so they may contact you about dispensing services for CBPM prescriptions, delivery and collection service updates, and relevant pharmacy service communications.
Critical GDPR safeguards for pharmacy data sharing: Health data is never shared. We will not share your diagnosis, clinical notes, prescription details, or any health data with the pharmacy for marketing purposes. The pharmacy will receive only your name and contact details — no inferences about health. The pharmacy will not be told why you are a Naturecan Clinic patient, what condition you are being treated for, or what you have been prescribed. Once your data is shared with the pharmacy, they become the Data Controller for how they use it, governed by their own Privacy Notice. You can withdraw your data from the pharmacy's marketing lists directly with them, or by contacting our DPO.

11.4 Group Data Sharing — Food Supplement Website (Separate Consent)

Important distinction: Naturecan Ltd's food supplements are not medicines, are not prescribed, and are not regulated by the MHRA as medicinal products. They are entirely distinct from the CBPM prescriptions issued by Naturecan Clinic. We do not endorse supplement products as part of clinical care, and no supplement product claim should be interpreted as a medical claim.
If you separately and actively opt in, we may share your name and contact details only (email address and/or mobile number) with Naturecan Ltd (the supplement business) so they may contact you about CBD and wellness food supplement products, promotional offers and new product information, and general wellbeing newsletter content. Naturecan Ltd is a separate controller — their Privacy Notice governs their use of your data once received. You can withdraw from their marketing lists at any time, or via our DPO. This consent is entirely optional and has no bearing whatsoever on your clinical care at Naturecan Clinic.

11.5 How We Collect Your Marketing Consent

Marketing consents are collected at the point of patient registration via our online registration form. Each consent option is presented as a separate, clearly labelled, unticked checkbox. You must actively tick each box to consent:
You can update or withdraw any consent at any time by contacting us at support-uk@naturecanclinic.com, via the unsubscribe link in any marketing email, or by contacting our DPO. Changes take effect within 10 working days.

11.6 What We Will Never Do With Your Data

  • Sell your personal data to any third party;
  • Share your health data, diagnosis, or clinical information for any marketing purpose;
  • Use automated profiling based on your health data to target you with marketing;
  • Use the fact that you are a medical cannabis patient to target you with content about recreational cannabis; or
  • Infer special category (health) information about you from your consent choices and pass that inference to any group company.

Section 12

Pharmacovigilance & Adverse Event Reporting

CBPMs, like all medicines, may cause side effects. We have a legal obligation under the Human Medicines Regulations 2012 and MHRA guidance to monitor and report suspected adverse drug reactions (ADRs) to the MHRA via the Yellow Card Scheme.
As a patient, you agree to:
  • Report any suspected side effect, unusual reaction, or change in your condition to your treating clinician as soon as practicable;
  • Permit us to file a Yellow Card report to the MHRA where we identify a reportable suspected ADR — this may include limited pseudonymised health data as required by the MHRA scheme (lawful basis: Art. 6(1)(c) / Art. 9(2)(i) UK GDPR); and
  • Engage with any follow-up clinical enquiry arising from an adverse event report.
You may also submit Yellow Card reports independently at yellowcard.mhra.gov.uk. Serious, unexpected suspected adverse reactions will be reported to the MHRA within 15 days of our awareness. All other suspected ADRs will be reported within 90 days, consistent with ICH E2A standards.

Section 13

Liability

13.1 Non-Excludable Liability

Nothing in these Terms excludes or limits our liability for: death or personal injury caused by our negligence; fraud or fraudulent misrepresentation; or any other liability that cannot lawfully be excluded or limited. We carry professional indemnity insurance covering clinical negligence claims. Details of our insurer are available on request.

13.2 Limitations

Subject to clause 13.1, our total liability to you in connection with any single event (or series of connected events) arising out of these Terms is limited to the total fees paid by you for the specific consultation or service to which the claim relates.
We are not liable for:
  • Loss or damage arising from your failure to follow clinical advice given by your prescriber;
  • Acts or omissions of a dispensing pharmacy after a prescription has been issued;
  • Adverse consequences arising from information you deliberately or negligently withheld from us;
  • Consequences of driving, operating machinery, or other activities while impaired by a prescribed CBPM contrary to your prescriber's advice or applicable law; or
  • The content, quality, or safety of CBPM products supplied by any third-party pharmacy.

13.3 Patient Indemnity

You agree to indemnify and hold harmless Ropana Clinics Ltd from and against any claims, losses, damages, or expenses (including reasonable legal costs) arising from your breach of these Terms or your unlawful use of a prescribed CBPM.

Section 14

Governing Law & Disputes

These Terms are governed by and shall be construed in accordance with the law of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where you are a consumer and applicable law grants you the right to bring proceedings in your country of habitual residence.
We are committed to resolving disputes fairly and encourage engagement with our complaints procedure (section 9) before formal legal proceedings are initiated.
If any provision of these Terms is found by a competent court to be invalid, unlawful, or unenforceable, that provision shall be severed and the remaining provisions shall continue in full force and effect.
